Meeting Room Use Policy

 

 

The Blackstone Public Library’s Meeting Room is 1092 square feet and is available for public use.  This room will seat 100 in a lecture style. The Meeting Room may be used for programs or meetings of an educational, cultural, or civic nature. Library related meetings will receive first priority, followed by the needs of town committees and then non-profit organizations affiliated with the Town of Blackstone.  There is no fee to use this room and it is available on a first come-first serve basis.

 

1.    Reservations for Meeting Room use should be made with the Library Director.

2.    The Meeting Room may be used during normal operating hours and after hours on Monday, Tuesday, and Thursday night until 9:30 pm.  Groups that are holding signups in the Meeting Room on Saturday’s may only advertise signups until 1:30.  Other times may be available at the discretion of the Library Director.

3.    No alcoholic beverages may be served.

4.    No smoking is permitted.

5.    An application may be required to be signed by a responsible adult representing the organization. The person signing the application will be responsible for the security, safety, and behavior of the group.

6.    Damage to library property must be paid for by the organization authorized to use the Meeting Room.

7.    Tables, chairs, projector screen, television with DVD/VCR combo, and podium.  As well as kitchen with gas stove and refrigerator are available upon request.  The library assumes no responsibility for the safety of private property brought on premises.

8.    The Meeting Room shall be left in a neat, orderly condition.  If the kitchen is used, it must be cleaned and the trash should be properly bagged.  A custodial fee may be charged if the room is not left in the appropriate condition.

9.    No admission fee may be charged, no donations may be solicited, and no merchandise may be sold by any group using the Meeting Room. The exception is library related events authorized by the Board of Trustees.

10. No after hours access to the library itself is permitted.

11. If a meeting is cancelled, the library should be notified promptly.

12. The Meeting Room is not available for use if the building is closed due to emergency conditions or inclement weather.

13. Keys to the Meeting Room will not be given to any group.

14. The Library Board of Trustees reserves the right to refuse the use of the Meeting Room or cancel any reservation based on the best interest of the Library or Town of Blackstone.

15. Permission to use the Meeting Room does not constitute endorsement of the group’s philosophy, policies, or activities by the Blackstone Public Library.
